Terms & Conditions

By booking a session at The Nature Nook, you (the parent(s) or carer(s) of the child/ren attending) agree to the following terms and conditions.

1. Nature of Sessions

The Nature Nook sessions are stay and play sessions for children under 5 years old. Parents and carers must remain with and supervise their child at all times throughout the session. Parents and carers are responsible for their child’s behaviour, safety, and well-being during the session, including ensuring that session rules are followed.

2. Outdoor Environment & Risk

Sessions take place in a natural, outdoor forest environment. While all reasonable steps are taken to minimise risk and provide a safe space, outdoor play involves inherent risks (e.g. uneven ground, weather conditions, natural materials, insects). By attending, you acknowledge and accept these risks and agree to support your child appropriately while on site. There are a number of rabbit holes, making the ground very uneven so care need to be taken walking around the site. The uneven ground also makes pushing a pram around a little tricky. 

If you notice anything that may present a safety concern, please notify Sammie immediately.

3. Weather Conditions

Sessions will run in most weather conditions, including rain and cold. Sessions will only be cancelled in the event of extreme or unsafe weather, such as yellow weather warnings, high winds, or other conditions that pose a safety risk.

All adults and children must wear weather-appropriate clothing and footwear (e.g. waterproofs, warm layers, sturdy shoes). Refunds will not be issued if unsuitable clothing prevents participation.

4. Cancellations by The Nature Nook

In the unlikely event that a session is cancelled due to weather conditions, staff illness, or unforeseen circumstances, we will provide as much notice as possible. You will be offered either:

  • An alternative session date, or

  • A refund

5. Cancellations by Parents/Carers

If you need to cancel a booking:

  • You must contact us by email at least 48 hours before the session to receive a refund or reschedule.
     

  • If you wish to rearrange your session, please notify us at least 24 hours before the session.
     

  • Cancellations made outside of these timeframes may not be eligible for a refund but will be considered on an individual basis.
     

6. Supervision & Boundaries

Children must remain within the designated session area at all times. It is the responsibility of the parent/carer to ensure their child stays within these boundaries.

There is water nearby and a bridge on site. Children must be kept away from the water at all times, and the bridge must not be crossed during sessions. This is the responsibility of the supervising adult.

7. Tools and Equipment

Adults and children may have access to tools and equipment appropriate for the different sessions. Some tools may be potentially dangerous if used incorrectly.

  • Where appropriate, a safety briefing and demonstration will be given before any tools or equipment are used.
     

  • Parents and carers are responsible for ensuring their child uses tools safely and appropriately.
     

  • Children must only use equipment suitable for their age and stage of development.
     

8. Health, Medication & Medical Information

If your child requires medication (including inhalers or emergency medication), it is the responsibility of the parent/carer to:

  • Bring the medication with them
     

  • Administer it when needed
     

Please inform us of any medical conditions, additional needs, or allergies before attending a session.

9. Food, Drink & Allergies

On occasion food and/or drink may be provided during sessions. It is your responsibility to inform us of any allergies or dietary requirements.

Parents/carers may bring their own snacks and drinks. The Nature Nook is a nut-free setting, and no nuts or nut products may be brought onto site. Please take all litter home with you.

10. Illness

Please do not attend sessions if your child (or accompanying adult) is unwell with a contagious illness. This is to protect other children, families, and staff.

11. Photography & Privacy

Parents and carers may take photos or videos of their own child only. Photos or videos of other children must not be taken without the explicit permission of the other parent/carer.

From time to time, The Nature Nook may take photographs for promotional purposes. Separate consent will be obtained for this.

12. Behaviour

We aim to provide a safe, inclusive, and respectful environment. Any behaviour from adults or children that is unsafe, aggressive, or inappropriate may result in the family being asked to leave the session, without refund.

13. Liability

The Nature Nook accepts no liability for loss, damage, or injury resulting from participation in sessions, except where caused by proven negligence. Personal belongings are brought at your own risk.

14. Acceptance of Terms

By booking and attending a session, you confirm that you have read, understood, and agree to these Terms and Conditions.

Risk Acknowledgment

The Nature Nook sessions take place in a natural woodland environment. Activities may involve uneven ground, natural materials, weather exposure, water play, tools, and interaction with the natural environment.

I understand and acknowledge that:

  • Outdoor play carries inherent risks that cannot be entirely eliminated

  • Reasonable steps are taken to reduce risk, but some risk remains

  • My child’s attendance is voluntary

  • As these are stay and play sessions, I am responsible for supervising my child at all times

Supervision & Responsibilities

I understand and agree that:

  • I must remain on site and supervise my child throughout the session

  • I am responsible for my child’s behaviour and safety

  • I will ensure my child stays within the designated session area

  • I will keep my child away from nearby water and ensure they do not cross the bridge

  • I will follow staff guidance regarding tools, boundaries, and safety rules

Food & Allergies

I understand that:

  • The Nature Nook is a nut-free setting

  • I must not bring nuts or nut products onto site

  • I am responsible for informing staff of any allergies or dietary needs

Photography & Media Consent

I understand that parents/carers may only photograph their own child during sessions.

Illness

I understand I must not to bring my child to sessions if they are unwell with a contagious illness.

FAQs

Do I need to stay with my child?

Yes. All sessions are stay and play, meaning parents and carers must remain with and supervise their child at all times.

What should my child wear?

Please dress your child in old, comfortable clothing that you don’t mind getting wet or muddy. Clothing should always be appropriate for the weather.

We recommend:

  • Waterproof coat and trousers (or all in one waterproof)

  • Wellies or sturdy outdoor shoes

  • Warm layers in colder weather

  • Sun protection in warmer weather

We have aprons available if your child takes part in painting or water play. If your child enjoys water play, waterproofs are strongly recommended whatever the weather. We are working towards getting spare waterproofs but until then we advise you bring your own. 

It’s also a good idea to bring spare clothes, so your child can change during or after the session if they get wet or muddy, or add layers if they become cold. 

Are the sessions all year round?

Yes — as much as possible! We believe that all weather offers valuable learning opportunities, and lots of fun can be had whether it’s sunny, raining, or even snowing.

However, sessions may be cancelled or rearranged if a yellow weather warning is issued (for example, high winds or heavy snow), as there may be an increased risk from falling trees or branches in the woodland.

If this happens, we will give as much notice as possible. Please note that weather conditions can change quickly, and short-notice cancellations may occasionally be necessary. Where possible, sessions will be rearranged, or a refund will be issued if cancellation is unavoidable.

Can siblings attend?

Yes! You can book a ticket for a confident walker up to age 2 or if they are not walking or are a babe in arms they are free to attend but please let me know they will be attending so I can factor this into my planning. 

Can I cancel my session?

If you can no longer attend a session, please contact us by email:

  • At least 24 hours before the session to rearrange to an alternative date

  • At least 48 hours before the session to receive a refund

Cancellations made outside of these timeframes may be non-refundable but will be considered on an individual basis. 

Where are you located?

We are located in the Junior Rangers area at Dinton Pastures.

If you park in the main car park, follow the path to the left of the main entrance to the park, just past the bottle bank.

Are there toilets?

Whilst there are no toilets on site, the nearest toilets are located at the café, which is a short walk on the other side of the car park from the Junior Rangers area.

Can I bring my pram?

Whilst you are more than welcome to bring a pram, the ground is very uneven so does make pushing a pram around a little tricky. There is space to leave your pram if you wish to bring it. 

Is there parking?

Yes. There are multiple car parks around Dinton Pastures. The closest is the main car park on Davis Street.

Parking costs £2.40 per hour, for up to and including 3 hours.

Are snacks provided?

On occasion, we may provide food and/or drinks during sessions. However, you are welcome to bring your own snacks, but no nuts or nut products are allowed as we are a nut-free setting. 

What about allergies?

Please let us know about any allergies or medical conditions before attending. We are a nut-free setting.

Can I take photos?

You may take photos of your own child only. Please do not photograph other children without permission.

This Privacy Policy explains how we collect, use, store, and protect personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We do not sell or share personal data with third parties except:

  • Online booking and payment providers

  • Where required by law or safeguarding obligations

All third parties are required to process data in line with UK GDPR.

6. Data Storage and Retention

  • Data is stored securely in password-protected digital systems or locked physical files

  • Access is restricted to authorised playgroup organisers

  • Personal data is kept only for as long as necessary

Typical retention periods:

  • Booking and attendance records: up to 3 years

  • Financial records: 6 years (HMRC requirement)

7. Photographs and Videos

Photographs or videos of sessions will only be taken with written or digital consent. These may be used for:

  • Promotional materials

  • Website or social media

Consent can be withdrawn at any time.
